MOSS are looking for a Project Coordinator! to join the team! To provide proactive coordination and commercial support across MOSS projects and enquiries, working closely with Project Managers and customers to ensure work is progressed efficiently, accurately and on time.

Key Responsibilities
- Coordinate and follow up incoming customer enquiries and submitted MOSS quotations, ensuring timely customer responses, feedback and accurate records are maintained in Pipedrive CRM.
- Support the preparation and submission of quotations and follow up opportunities through to outcome.
- Provide day-to-day support to Project Managers across live projects, including project coordination, costing, commercial and administrative tasks.
- Coordinate project requirements including personnel, equipment, materials, procurement and site arrangements.
- Liaise with customers, suppliers and internal teams to coordinate requirements, programmes, actions and project updates.
- Assist with project costing, cost tracking, variations and additional works, ensuring changes and associated costs are accurately captured.
- Process project timecards and expenses, ensuring they are accurate, correctly allocated and submitted within required timescales.
- Support the reconciliation of labour, equipment, materials and procured items against project scopes and costs.
- Use Microsoft Business Central to maintain and review purchasing, project, costing and invoicing information.
- Monitor project actions, deadlines and outstanding information, escalating issues, risks or delays to the Project Manager where appropriate.
- Support project close-out, ensuring timecards, expenses, final costing, invoicing scopes and all required project documentation are complete and submitted.
- Maintain accurate project, customer and commercial records throughout the project lifecycle.
- Act as a key point of contact between customers, Project Managers, Commercial, Finance and Technical teams.
- Provide support with other ad hoc requests and tasks as required, contributing to the smooth running of the wider MOSS team.
- Support the coordination of internal training for Technicians, ensuring site access, training requirements and associated records are maintained and kept up to date
- Maintain PPE control and stock levels, coordinate technician allocation, and identify and coordinate any special scope, site-specific or project-specific requirements.
- Participate in the out of hours on-call rota, currently operating on a one-week-in-five basis, providing seven days a week cover. Respond to operational and client calls outside normal working hours, coordinating appropriate actions and escalating issues where required. Liaise with the Workshop on-call representative to coordinate technical requirements, urgent machining requirements, and equipment and tooling logistics.
Experience & Skills
- Previous experience in project coordination, project support, commercial administration, sales support or a similar role.
- Experience within engineering, construction, energy, manufacturing or a technical environment would be advantageous.
- Good understanding of quotations, costing, procurement and commercial processes.
- Strong organisational, communication, follow-up and attention-to-detail skills.
- Ability to manage multiple projects, enquiries and deadlines effectively.
- Confident communicating with customers, suppliers and internal teams.
- Experience using Pipedrive CRM, Microsoft Business Central and Microsoft 365 would be advantageous.
- Proactive approach with the ability to identify issues and ensure they are followed through to completion.
