We have an exciting opportunity for an Apprentice Logistics Administration Assistant to join our team at Petrasco Energy Logistics based in our Aberdeen site! The role Is Monday to Friday and is Full-time, Permanent. This role will be to provide administrative support to the logistics operations and general administrative duties within the company.
Core Responsibilities:
- Provide general administrative support to the logistics operations department as appropriate.
- Provide administrative support to the Commercial Team where required.
- Assisting Operations with billing / Client Monthly Spreadsheets.
- Booking Courier shipments with the relevant Courier companies
- Provide the clearance instructions to Courier companies as per customer Clearance Instructions
- Completion of Customs declarations – both Import & Export
- Monitor and update information systems (IMS)
- Completion of Spreadsheets
- Assist in the general management and upkeep of paperwork and processes.
- Management of the company sickness, absence, and holiday records.
- Complete weekly office inspections and complete the required checklists
- Book Training Courses - both Internally & Externally
- Maintaining Training Records
- Ordering office stationery and other supplies
- Preparing meeting room for arrangements meetings, training courses etc.
- Participating in office meetings and taking meeting minutes as required.
- Handle Incoming mail and distribute accordingly.
- Answer incoming telephone calls in a courteous and professional manner.
- Check First Aid boxes and replenish where applicable.
- Comply with the Company’s information systems policy.
- Comply with the Company’s Management systems policy.
- Comply with the Company’s Health & Safety policy.
- Comply with the Company’s Data Protection policy in relation to any information held, used, processed and/or disclosed e.g. customer details, employee details.
Plus, other duties as may be reasonably required of you by the leadership team. You should be aware that you may be called upon, from time to time, to act in a capacity outside your normal duties, e.g., in cases of absence, sickness or holidays of other members of staff.
